AUTHORIZATION TO PARTICIPATE AND LIABILITY RELEASE
I give my daughter permission to participate with the Heat Fastpitch Academy & G2 Athletics. I give permission and release liability for future practices, games, tournaments and other events that the Heat Fastpitch Academy participates in. I have no knowledge of any physical impairment that would affect my daughter’s ability to participate in competitive athletic competition representing the Heat Softball Organization. If my daughter has an injury or a physical issue that Heat Fastpitch Coaching Staff needs to know about I will discuss it with the Head Coach and the Owners.
I hereby authorize Anthony Gonzalez, Victor Garcia or any other coach on staff not named herein to act for me according to their best judgment in any emergency requiring medical attention. I give my permission for my child to be treated by medical personnel at a hospital or other medical clinic, should immediate attention be deemed necessary and recognize that any fees incurred will be my responsibility.
I hereby waive and release Anthony Gonzalez, Victor Garcia and any other coaches or staff members of any liability for personal injury or illness sustained while participating, in any capacity, with the Heat Fastpitch Academy or coaching staff. I release G2 Athletics and Heat Softball of any liability for personal injury received while participating with this team and/or coaching staff.
Heat Softball Parent Agreement:
As a Heat Softball PARENT/S, I agree to and/or understand the following:
We will commit to the summer season (Last weekend in May through Aug 1st 2025). The team depends on each player being committed to being at ALL practices and games. Missing practices will result in loss of playing time and position. Missing multiple times will result in removal from the team without refund. There will be some mandatory off-season practices but summer is MANDATORY. We are flexible during the off-season and expect 100% commitment during the summer season. Players missing practices or games has a negative effect on team chemistry and the ability for the team to build a bond, to compete, and improve. If a tournament or excessive practices are missed, removal from the team will be discussed by the coach and owners.
Fall Season is from Aug 1st through Oct
Off Season is from Nov through Feb
Pre-Season is March through end of May (Spring season for 10, 12, 14)
Season is May through Aug 1st
Practices are required in the Fall, Off-Season, and Pre-Season times. HS activities take precedence over these and are excused. If your daughter is not in other extra-curricular activities the expectation is for them to attend workouts. Only school activities are excused. Other activities need to be discussed with your coach prior so we know of the conflicts in advance. We are very flexible during these seasons but expect those who are not in extra-curricular activities or school activities need to put in the work to stay in shape and improve their softball skills.
OFF-SEASON is one of the most important times for players to participate in. Off-season is where champions are made. This is the time to correct bad habits and work on teaching new skills. Most players tend to fall behind their teammates if they do not put in the work during the winter months. It is up to your daughter to find the time to put in work if she is unable to come to workouts. We provide a lot of options to help your daughter get to a workout. She needs to discuss with her coaches on options. Every year we get to summer and parents and players are upset that another player is getting more time at a position that their daughter had in the fall. We remind all players and parents that those who attend the off-season workouts consistently often become better players than those who didn't attend. If you are not able to attend and can't find a work around, you need to be working at home. A part-time athlete is an athlete that does the minimum required of them.
Seniors and returning players from college are expected to continue to work and participate in all Heat activities, practices, games, and events. If you are allowed to come back and play. Families of younger players gave the time and commitment to help those players who ended up getting scholarship offers or play through their Senior year. If you choose to come back and play, the expectation is to travel to all events scheduled and to attend practices that you are able to. If you are not willing to travel to help the younger players, do not ask to return to a team.
We are trying to teach your daughter accountability and responsibility. We understand things happen and emergencies come up and we can address those as they happen. Anything that comes up, YOUR DAUGHTER needs to discuss them with the coach. This goes for all 14U players and up. They need to discuss any issues they may have with missing practices and games. Players need to learn to hold themselves accountable and to learn to talk directly to coaches. If your daughter is not happy with playing time, issue with players or coaches they need to reach out to the coach. Not the parents. Their first interaction needs to be the player talking to the coach.
Late to practice = Run or some other physical activity.
Late to Warmups for games/tournaments - Will not start
Missing practices before a tournament:
1 Practice = Not starting next game
2 Practices = Sit out a game
3 Practices = Sit out a tournament. Possible dismissal from team with no refund
4 Practices = Discussion about dismissal from the organization.
Missing games at a tournament or missing a tournament = discussion on removal from the team. Missing practice or games due to other sporting events or activities = Discussion about dismissal from organization.
You are paying for us to train your daughter and give her the opportunities to learn the game. Your daughter will get out of the program what she is willing to put into it. Off-season and Pre-season workouts are where we work on fixing things fundamentally wrong. If you/she chooses not to attend workouts for whatever reason, that will reflect on her skill set going into summer season. Most players who do not attend off-season workouts tend to fall behind the others.
You are not paying to play. This is a competitive travel ball organization and we are trying to teach your daughter to learn to compete and be mentally tough. All players will EARN the right to play on the field based on a number of factors that include attitude, work ethic (putting in extra work, hustle, being coachable, attending practices), being a team player, staying out of drama/trouble, and their ability to field a position and their overall softball skillset.
We carry a heavy roster for a number of reason. Most of which is to teach your daughter to compete to keep her spot. This is something she will have to do for the remainder of her life. We are teaching your daughter to be mentally tough and to learn to compete for what she wants in life. Your daughter will need to learn to be a TEAM player and at times a Role Player. She will sit the bench from time to time so she can learn to support her teammates. We also carry a heavy roster to protect the team against injuries and emergencies. No one likes to run the pickup game all summer long.
I will encourage my child to attend extra practices or camps when possible to help improve their skill set. They are athletes and need to learn to train like athletes when possible. That goes for any sport. The more they train the better they will become and the less likely they will lose their spot on the team. At some point natural ability starts to fall to the wayside when other athletes start to train more. “Hard work beats talent when talent doesn't work hard."
I will make sure my child attends all events that my team and the organization makes available, especially Team Bonding. This is a critical part of being on a team and learning to bond with your teammates.
Fees:
A non-refundable $250 deposit will be paid when you accept a position on a Heat team and that will be applied to your total fees for summer. After Oct 1st, 2024, no fee payments will be refunded if you choose to leave the organization for any reason. If you leave or are dismissed before Oct 1st you will receive a refund of money paid in except your Non-Refundable deposit. If you are asked to leave due to a violation of the parent/player agreement or behavioral issues from a player or family members there will be no refund issued.
If you receive scholarships, sponsorships, or you do any team or private fundraising that amount will be refunded to you up to the amount of fees paid in at that time. Anything above and beyond your fees become part of the Heat Operating Fund and will not be refunded. Sponsorship fees given will not be returned to the player or player's family.
I/We will not interfere with the coaching of the Heat teams at practices and/or games. Enjoy the game/practice and let the coaches coach the players. I will not coach my child from the stands or approach the dugout to speak to your child during the game or practices. This is distracting to your child, the other players, and the coaching staff. Encourage and cheer on your player and the team. We do not want you coaching from the stands. This will only causes confusion, distraction, and stress for the player. They need to be focused on the game and their coaches. This also puts them in a tough situation of who to listen to. It becomes very confusing and makes the player have to choose to listen to their coach or their parents. Plus, if a college coach sees this it could end up hurting your player's chances at being recruited. You as parents are being recruited too. So remember that when you are in the stands or in public where a potential college coach can see you.
I/We will not speak negatively about a Heat player, parent, coach, an opponent, or umpire in public at games or Heat functions. This includes any family member/friend that attends any event for your child. You are responsible for the behaviors of anyone who comes to watch your child. We ask our players to stay away from negativity and drama and we expect our parents to do the same. What you do in your own home or in private is up to you. Games, practices, and Heat events are places where we need to be supportive of all the players and coaching staff.
We have seen players lose scholarship opportunities because of their parents antics during the games. One of the top questions we are ask when we talk to college coaches are about the parents and their behavior. Being negative in the stands in and in front of your child will only bring issues to the team chemistry and make things uncomfortable for you, the players, your daughter, and the parents on the team. We are the adults and need to set the example. No one wants to hear someone else disrespecting or talking bad about YOUR child. Let's be respectful and not do this to anyone in our Heat family.
Respecting the Umpires is part of being respectful in the stands. They are human and will make mistakes. We want you to know and understand that there are calls that we can challenge and some that we can't. So we can't argue every thing you think we should. We know what we have the chance to overturn and what we don't. We are also on the field and see better then you in the stands. Our coaches will challenge calls and talk with the umpires. Arguing or being disrespectful to them is not going to help the team. Ultimately it hurts the team. USSSA and ASA have indicated that they are telling their umpires to not tolerate a lot of bad behavior from the stands any more due to lack of officials.
If a problem concerning a coach of my child occurs, I will wait 24 hours after the practice, game, or if during a tournament, 24 hours after the last game of the tournament. I will not approach the coach to talk until this time frame has passed. I will direct any questions to the head coach. This gives everybody time to think and approach the issue with a level head. If you are not satisfied at that time, you can contact one of the owners. This includes posting comments directly or indirectly on social media pages about the team, parents, officials, coaching staff, and players and is a violation of our contract. If you approach the owner before talking with the coach we will advise you to talk to your coach. They can't fix something if they do not know what's going on.
I understand that playing time will be EARNED or lost based on your daughters overall participation, attitude, performance and dedication with the team in daily events, practices and games. The coaches will do what is best for the TEAM. We are working to train your child to be a "WE player and not a ME player". We train for the big picture, that is teaching your child to be a Coachable player and a team player that ALL coaches will want in the future. This is one of the first things we are asked about players by college coaches. “Is she coachable and is she a team player or a selfish player?” That sets the tone for the rest of the conversation.
I will represent the Heat Softball program at games and events in a positive light and with phenomenal sportsmanship. We ask this of the players and we as parents need to role model it. Drama will not be tolerated by players or parents. The kids have to deal with it daily in their lives and we do not want them to deal with it here! This includes how you handle yourself in the stands and at the games. We do not engage in negative talk or activity at the games with our opponents, other parents, players, umpires, tournament directors, and members of our Heat Family. Any violation can result in removal from the team. We are trying to create a positive, supportive environment for our athletes and for parents.
If you smoke, please do so in designated areas. This includes vaping. Do not smoke inside of the facilities or facilities that we play at. All fields and complexes have a no smoking, vaping, or drinking policy. We do not want to be told one of our parents is not following the rules at any park we play at.
No alcohol consumption in the facilities or the facility parking lot during the tournament or games.
I understand that if my child has received any injuries that require medical attention, the child must be released, in writing, by a physician before she will be able to participate in practices and games. The coaches need a copy of the release before they will allow her to participate.
Be flexible regarding events, games, and practices that the Heat attends and/or host. I understand that schedules may be last minute and can change with little notice. Plan on playing every weekend in the summer. From the last weekend in May until the end of July. That's our season and we can/will move or cancel tournaments to a weekend that may have been free. You committed to the entire summer season when you joined the program. Sometimes this is beyond our control. Especially with tournaments and if numbers are low and we have to change locations. It is our goal to try to get the biggest bang for your daughter. Especially for College Showcases. We will watch what coaches attend what showcases. The number of teams and caliber of talent that will attend. And the cost and travel distance to those showcases.
*When booking Hotels or Airbnb's make sure you purchase the insurance or do not book with 3rd party sites that will not be flexible with your travel reservations. There will be rainouts, cancelations, etc. that are beyond our control and we do not want you losing money.
We give my permission to the Heat Softball program to use my child’s photo, likeness, and name for promotional or recruiting purposes.
Lastly, we ask everyone to buy into the philosophy and trust the process and goals of the Heat organization. It only takes 1 person to poison the team or parents group. When all players and parents are bought in the chances for success increases. 1 person being negative, talking about players and/or coaches, isolating themselves, or a group of parents is the quickest way to destroy the team chemistry and parent group and the success of the team. We tell the girls the same thing, if you become a part of that, you will be asked to leave the team/organization.
My signature as a Heat Softball Parent attests to my understanding that if I break any of the rules as outlined in this agreement, I may be asked to leave the organization with my child. If you choose to leave under any circumstances after Oct 1st of that year you will forfeit your fees paid in at that time. Under these circumstances, I forfeit my right to any monies paid to or collected by the Heat Softball program. In the event of injuries or other circumstances the owners will decide on a refund.

As a Heat Softball team member, I agree to and/or understand the following:
Commit to the Summer season. The Heat organization is flexible during the off-season and we expect 100% commitment and participation in the summer. School activities/academics has the priority in the off-season. Make sure to keep you coach updated if you have a test or need to miss due to academic reasons. Because academics is such a vital part of your future, if your grades become and issue we will discuss options with your parents on being excused from practices and games or the organization. In the event of you getting poor grades we can discuss dismissal from the team. Your academics are where you will receive the most of your scholarship money.
Plan ahead in order to be at every practice, game, or additional training opportunity. Missing practices equals missed playing time. Players missing team bonding events, practices and games has a negative effect on team chemistry and the ability for the team to improve. Missing tournaments, games, team bonding, or a number of practices can and will result in dismissal from the team with no refund given.
For those of you who work, we will give you a couple of weeks once the practice schedule is set to get your work schedule setup. Work is not an excuse to miss. It is your responsibility to arrange your schedule and talk with your employer. We understand emergencies happen. And that can be discussed.
This will be decided by the head coach and the Heat owners if this becomes and issue. Each coach will layout their policy on missing practices or games. We are trying to teach you to be accountable for your actions a responsible young adult.
If you are in the 14U age group and older, you are responsible for contacting your coach when you are going to miss any practices, games, warmups, etc. You are to contact your coaches directly if you need to let them know anything. It is your responsibility, not your parents. It is your team.

I will attend practice in designated uniform. Have all equipment needed for indoor or outdoor practices. For all outdoor practices players will wear pants unless otherwise noted by the coach. Your equipment is your responsibility, not your parents. Carry your own gear and be responsible for it. It is your gear, take care of it.
Respect your gear. Your parents pay a lot of money for you to have it so take care of it! If we see you not being respectful to your equipment or your parents taking care of it you will have a discussion with your coaches.
In order to make myself and my team better I will give 100% at practices and practice as if it were a game. Game time speed and pressure in practices will make me and my team better. "Practice Like You Are Gonna Play. If you are lazy at practice you will lose your spot.”
You will got out of the program what you are willing to put in. Off-season workouts, extra workouts, private lessons, are all a part of becoming a better athlete. In any sport! If you choose to miss extra workouts and opportunities to train then that is your choice and it could reflect negatively going into spring/summer season if your teammates all chose to attend and work hard. It is hard to become great at something when you are only going to 2 practices per week. What you do when no one is watching is what will help you to become great, in any sport or activity.
Attending 2 practices per week in a Part-Time athlete. It is hard to be successful at something when you are part-timing it. Attending lessons and OPEN workouts and then taking the information and working it on your own, outside of the 2 practices per week and your OPEN or lessons. Now you are becoming a Full-Time Athlete!!
Arrive at all Heat events “fully dressed” including hair pulled back, jewelry removed, shirt tucked in and correct shoes on. You represent the program, what people see is what they will think of us. Represent us in a positive light. If you have negative/disruptive behavior while representing our program can lead to dismissal from the team. Hundreds of players & coaches before you have worked hard to build this legacy and reputation and we will not allow it to be tarnished.
We ask that you practice and train as much as possible on my own to increase your chances of being successful. This includes speed, agility, and strength training, camps, etc. The more prepared I am mentally and physically the more likely I am to succeed. What you do when no one is looking is what will determine how good you will be!
We require our specialty players to find coaches to work with,. Pitchers are required to work with a pitching coach to do lessons. We can help you find one or you may be able to use our coaches. All pitchers need to have a full time pitching coach and attend lessons at least every other week minimum.
I understand that positions and batting order are assigned based on the needs of my team. I understand that playing time will be earned, or lost, based on my participation, attitude, and performance in practices, team bonding, and games. Positions are based on what is best for the team, not what is best for you as an individual. Missed practices can and will result in loss of playing time or position. Violating of the rules can result in loss of playing time or dismissal from the team. We are looking for "WE players, not ME players." We are training our athletes to be recruit-able coachable players and responsible adults in the future. Playing time is probably the most sensitive part in any sports. Your playing time is up to you. How hard you work, how much time you put in, and your attitude will contribute to your playing time. Of course, you also have to beat out anyone who is in your position and be the best player for the team.
Represent the Heat Softball program in the community with class and good sportsmanship at all times. "Team Together, Team Apart. Don't embarrass the family or the name!" What you do reflects on our name and those players and coaches who helped build this organization. It reflects on the current and future coaches and players. Set the example and help us continue leaving a legacy. Things that you do outside of the organization can affect what happens on your team or within the organization.
I will not use foul language or behave inappropriately in practice, games, or events that could reflect the organization in a negative way. I will jog back to the dugout if I strikeout, I will not question officials or show any type of disrespect to my opponent, officials, parents, and coaches. I will control my emotions when participating in practices and games and not disrespect the game, coaches, players, opponents, or officials.
I will treat my teammates, all Heat coaches, members of the organization, and my parents with respect at all times.
I will not participate in ANY from of illegal drug or alcohol use. I will not attend any parties where alcohol or drugs may be present and I will leave if any alcohol or drugs are present. Failure to do so can result in removal from your team.
I will watch what I post and what my friends post on my social media pages. This includes negative or inappropriate comments directly or indirectly about a coach, teammate, or parent within the organization. Any type of post on social media that will negatively reflect on the team or organization is not accepted. Any post that portrays you in a negative situation will not be accepted. Anything that can be shared through social media platforms, text messages, phone apps, etc. shall not show you or your teammates in a negative manner.,
I will refrain from talking about my teammates or coaches and starting drama. We will not tolerate drama. These are your softball sisters and you will respect them and your coaching staff. You have to play on the field, practice with, and spend the year with your softball sisters. And like your siblings, you will find a way to get over any issues you have for the good of the team. WE OVER ME. If you have an issue, you need to take it to the coach. If they coaches don't know about any issues how do you expect them to correct it? We know there will be disagreements, players being upset, etc but we expect you to work it out. Just like your siblings at home, these are your sisters and at the end of the day you need to find a way to work it out. If it continues after discussion with the coaching staff and owners discussion about removal from the team will take place.
I will keep my coach informed of any injuries/illnesses that might prevent me from playing or practicing. I will notify my coach as soon as possible if I will be missing practices or games. If you are asked to miss practices due to medical reasons, the coach will need a medical release from your Dr in order for you to return to practice or play in a game.
I will discuss any Heat Softball related problems with my Coach. If I have an issue with a teammate, player, or Coach I will discuss it with my coach first, then the owners. The coach can't fix something if they do not know it exist.
No cell phone usage during practices, games, or team events, This includes watches, tablets, eyewear, etc. The coaches have the right to have you put away your phone and not use it. If you need to use it, discuss it with the coach. This does include social functions associated with your team or organization, not just practices and games.
Lastly, buy into the philosophy and trust the process and goals of the Heat organization. It only takes 1 person to poison the team. My electronic signature as a Heat player means that I agree and understand that if any of the above are not followed or are broken, I could lose my position as a Heat player. Under these circumstances, I will not be entitled to any refunds and will have to return any equipment issued to me by the organization.
